Examples where engineering documentation is managed by Trix Organizer

Trix Organizer was designed from its inception to meet the unique document management needs of engineers and engineering organizations. Now in its 6th version, it has been in use since 1993.

The system uses a robust, reliable, client-server architecture. The underlying database is Microsoft SQL Server. Files are stored inside the database so nothing is left vulnerable on regular file systems. Backups don't interfere with use.

Clients access documents over the LAN, using a local client, their Web Browser, Terminal Services or Citrix.

Pricing is based on numbers of users, types of users (editing or view-only) and modules installed.

When files are checked out for editing Trix Organizer calls up the editing application and serves up the required file, then ensures that the edited file is checked back in to the system.

The system is proven scalable with document quantities stored ranging from a few thousand to hundreds of thousands.

The Administrator sets user privileges that govern client rights for functionality, access to documents and interface appearance.

Users see their documents organized in a hierarchical structure called an Organizer Tree. Individual documents can appear in multiple parts of the tree without actually ever being duplicated. The system presents each user with the tree structure that makes sense for the way they work.

Engineering Drawings displayed as thumbnail images

Lists of found documents can also be displayed as thumbnail images to speed recognition. Double-clicking on a thumbnail opens up the drawing in the built-in viewer. Drawings can be redlined in the viewer by any user. This redline does not change or edit the underlying file - the redline is stored in the database as overlay layers and serves as a means of communication between different users of the drawing.

Documents that have been checked out from the database for editing are constantly tracked.

A floating window provides a list of all documents that the user has out for editing. The system retains a copy of each file being edited in case of corruption by the editing application.

Copies of all prior versions of files are also retained in perpetuity so it is easy to revert back to previous releases or make copies of them.

Three levels of security are provided. For the first level functional rights are assigned to Users and User Groups. The second level of security permits the administrator to hide/display Organizer Tree folders based on Users. The third level is provided by the optional Workflow module. Based on the status of a document (e.g. For Review, Approved, etc.) it can be hidden or locked out from manipulation.

Document status reports are customized to meet individual needs and output as Crystal Reports for printing or export to spreadsheets. Calendaring function flags due/overdue check-outs.

The optional Web client essentially replicates the appearance of the regular client while running inside Internet Explorer.

Trix Organizer conforms to ISO N819 and IEC 82045 standards for Document Management and provides a solid basis for ISO 900x certification.
